Upload your Contacts
If you exported contacts during your call with Shawn Daniels, you will have a spreadsheet provided. Alternatively, please download the spreadsheet template linked in the Materials tab to provide contacts whom you would like to receive firm News, Updates and other related emails.
Instructions for the spreadsheet are as follows:
To better be able to target your contacts in our database we have some established categories. You can add any missing contacts to the provided Excel document, or start from scratch using our template. My goal is that you just have to click buttons.
Please follow these steps to apply the category to each contact:
- Open the provided file or template in Excel. The provided file contains all of your contacts with an email address; the template will be blank.
- Excel will show a prompt asking you to enable active content. You must pick the ‘Enable Content’ button to enable the macros to function.
- It’s important that you click on a cell in the E column. Start with E2.
- Click the buttons to the right of that cell (Remove, Client, Prospect Attorney, Connector, Prospect Client, Other) to populate the text next to each contact record and then automatically move to the next row for the next selection.
- Once you have categorized the contacts save and send the file back to me.
Tracey Watson has documented the description of types. These will determine who we target with each announcement. Please reach out to her if you have a question about how to categorize someone:
Remove = Contact will not be Hubspot
Clients = Any current or former clients you have worked with
Prospect = Anyone who is a potential candidate to work for Practus. This could be an attorney friend, acquaintance, or long-time business associate of yours. You may or may not have ever spoken to them about joining our team, but they would not be opposed to having that conversation at some point. We may include this person in any mass e-mails sent out announcing latest Practus news like new attorneys that have joined our team or social events we may be hosting in their area.
Prospect Client = Anyone who is a potential candidate be your client as an Attorney.
Connectors = These are people who don’t have the potential to work for Practus but are very connected with people who may consider it. They have their ears to the ground and are in the know about who’s working where and who might be looking to make a switch. They do not necessarily have to be connected in the law industry in order to be identified as a connector. If they are not connected in our industry but are movers and shakers and have a pretty strong network, identify them as a connector, but make a note that they aren’t connected in our industry.
Network – This group is defined as anyone who has the potential to refer business onto one of our attorneys but will never work for Practus.
Other = Friends, family, neighbors, or anyone else who doesn’t fall into one of the above categories.
